Payments

Orange payment slips are distributed on Mondays for the previous week. Payments are due by Friday of that week. Please return the orange slip with payment.

A late fee of 0 will be charged for any payments past Friday.

Unscheduled Attendance: There will be a .00 charge if there is a change in your child’s attendance without notice by 2:30pm.

Cancellations & Delays

Listen to WFIN AM 1330 or WKXA FM 100.5. If Arlington School delays/closes, Preschool follows suit.

• Delays: Preschool delayed schedule: AM classes 10:00AM – 12PM; PM classes 1:00PM – 3:00PM.
• Snow Emergencies: Daycare remains open for Level 1 or 2. Closed if Level 3 occurs before 6:30am. If Level 3 occurs during session, please pick up safely.
• Power / Phone Outage: If phone and power is out, a note will be left on the church doors letting parents know where we will be located in an evacuation emergency.

Clothing

Dress for play! We use paint, markers, and glue. Include proper outer clothing (we go outside if 25-95 degrees). Keep a change of clothes in the book bag with names on all items.

Medications

Written consent and proper paperwork required. We administer medications to children with disabilities in accordance with the ADA.

Licensing and Compliance Notice

Our center is licensed by the Ohio Department of Children and Youth (DCY). The center’s licensed capacity, current licensing rules, and past inspection reports are available for review on-site upon request.

The laws and rules governing child care licensing are available at the center or online through the Ohio Administrative Code (OAC) Chapter 5180:2. Filing a Complaint

Any custodian or parent who suspects a violation of child care licensing rules may file a formal complaint with the state. To report a suspected licensing violation, you may contact the Department of Children and Youth directly by calling the DCY toll-free number at 1-877-302-2347 (Option 4).

Emergency Preparedness and Communication Protocols

The center has a comprehensive Medical, Dental, and General Emergency Plan posted in each classroom. In the event of a serious disaster, environmental hazard, or structural threat requiring evacuation, the following parent-communication policies apply:

• Loss of Communications: In the event of a total infrastructure failure resulting in a loss of local cellular network and internet services, administration will utilize physical check-in points at our primary evacuation site, utilize local emergency broadcasting channels, or deploy designated staff to coordinates where manual status updates can be safely distributed to arriving families.
• Off-Site Evacuation Tracking: If an emergency forces an immediate off-site evacuation, children will be safely transported to our designated emergency assembly location. Parents will be notified of the evacuation and the exact physical location of their children via our automated emergency broadcast system (or manual methods if utilities are compromised). Staff will maintain continuous possession of the center's official attendance rosters and children's emergency medical files to ensure 100% accountability during tracking and reunification.
• Transit and Field Trip Emergencies: If an unexpected crisis or vehicle accident occurs while children are actively being transported or are away on a routine field trip, the supervising driver/staff member will immediately contact local first responders (911). Once emergency services are secured, the center administration will be notified, and administrators will immediately begin calling the primary phone numbers of the affected children's parents/guardians to communicate status updates and logistical resolution plans.
• Power / Phone Outage: If phone and power is out, a note will be left on the church doors letting parents know where we will be located in an evacuation emergency.

Health Plans, Dietary Needs, and Food Safety

Our program enforces strict nutritional and health guidelines to protect the physical well-being of all children in our care:

• Modified Diets & Medical Foods: If a child requires a modified diet that eliminates an entire major food group or requires specialized medical foods, parents are strictly required to submit a completed DCY Form 01236 (Child Medical/Physical Care Plan for Child Care) before the child's first day of attendance.
• Infant Feeding Restrictions (Under 4 Months): To comply with infant safety laws, we are explicitly prohibited from feeding infants under four (4) months of age anything other than breastmilk or commercial infant formula. Solid foods, juices, cereal mixtures, or supplements will not be introduced without a signed, written physician’s note kept on file in the child's record.
• Choking Hazard Dimensions (Food from Home): For all meals and snacks brought from home, parents must adhere to strict DCY food safety cutting dimensions to eliminate choking hazards. For infants and toddlers up to 24 months of age, all solid foods must be pre-cut into pieces no larger than 1/4-inch (pea-sized). For older toddlers between 24 and 36 months of age, food must be pre-cut into cubes no larger than 1/2-inch.
• Dairy: Approved dairy snacks include ice cream, yogurt, and cheese. (Finger jello, juice bars, and popsicles are not permitted.)

Mandated Reporting of Suspected Abuse and Neglect

All center administrators and staff members are legally mandated reporters of suspected child abuse or neglect under Ohio Revised Statute (ORC) 2151.421. If any staff member has reason to suspect that a child is being abused, neglected, or exploited, they are required by law to immediately make an oral or written report directly to the local Public Children Services Agency (PCSA).

Following the immediate referral to local authorities, the center will submit a formal serious incident report to the DCY statewide licensing system within 24 hours of the initial discovery or suspicion. The center is legally obligated to cooperate fully with any subsequent investigation conducted by law enforcement or protective services.
